First-order fulfillment checklist (shipping)

What to do when your first shipped order comes in: verify details, pack safely, print a label, hand it off, and follow up with the customer.

Shipping Orders

Your first order is exciting, but it also creates a promise. The customer paid you. Now the job is to ship the right item, to the right address, with clear communication.

Use this checklist for your first shipped order.

1. Confirm the order details

Before packing anything, verify:

  • Customer name.
  • Shipping address.
  • Product and quantity.
  • Variant, size, color, flavor, or option.
  • Special instructions.
  • Shipping method.
  • Payment status.

If anything looks wrong, contact the customer before shipping. It is easier to fix an address before the package leaves.

2. Prepare the item

Check the product before it goes into the box.

Look for:

  • Damage.
  • Missing pieces.
  • Wrong size or variant.
  • Dust, fingerprints, or packaging marks.
  • Required inserts or instructions.

If the product is handmade, food-related, fragile, or custom, create a repeatable quality check now. Your future self will thank you.

3. Choose packaging that protects the order

Packaging does not need to be fancy, but it must protect the product.

Consider:

  • Box or mailer size.
  • Cushioning.
  • Weather protection.
  • Fragile labels when appropriate.
  • Packing slip or thank-you note.
  • Sealing tape.

Avoid using a box so large that the product moves around. Movement causes damage.

4. Print or create the shipping label

Depending on your setup, you may create a label inside your store, through a carrier, or through a shipping tool.

Confirm:

  • Customer address matches the order.
  • Package weight is accurate.
  • Package dimensions are accurate if required.
  • Service level is correct.
  • Return address is correct.
  • Tracking is generated.

Incorrect weights or dimensions can create extra fees or delivery problems.

5. Mark the order correctly

After the label is created, update the order status if your system does not do it automatically.

The customer should receive:

  • Confirmation that the order shipped.
  • Tracking number.
  • Carrier name.
  • Any timing note if needed.

Do not leave the customer wondering whether the order is moving.

6. Hand off the package

Use the correct handoff method:

  • Carrier pickup.
  • Drop box.
  • Post office or carrier counter.
  • Shipping store.

For your first few orders, consider using a method that gives you a receipt or acceptance scan. It creates a record that the package entered the carrier system.

7. Follow up after delivery

Once the order is delivered, you can send a short follow-up:

"Your order shows as delivered. Thank you again for shopping with us. If anything arrived damaged or incorrect, reply to this email and we will help."

This builds trust and can prevent silent frustration.

First-order shipping checklist

Before marking the order fulfilled, confirm:

  • Correct item.
  • Correct variant.
  • Correct address.
  • Safe packaging.
  • Label printed.
  • Tracking available.
  • Customer notified.
  • Package handed off.
  • Order status updated.

Bottom line

Shipping your first order is about accuracy, packaging, and communication. Slow down, verify the details, and create a simple process you can repeat as orders grow.
